How to answer customers on Telegram 24/7

Most enquiries that go unanswered for a few hours are lost. You do not need a night shift to fix that — you need a bot that answers the common questions well and brings you in for the rest.
1. Give your shop its own Telegram bot
Customers should message the shop, not your personal number. In Telegram, open @BotFather, send /newbot, pick a name and a username ending in “bot”. You get a token — keep it private. Your customers will find the bot at t.me/yourusername.
2. Write down what it is allowed to say
A bot is only as good as its material. Collect, in one place:
- Your price list or menu, with what is included
- Opening hours, location, delivery areas and times
- How to order or book, and how payment works
- Your policies: deposits, cancellations, refunds
- The ten questions you answer most often, with your answers
3. Decide what always comes to you
Write a short list of what the bot must never decide alone: refunds and discounts, complaints, anything legal, big or unusual orders. A good bot passes these on immediately instead of improvising.
4. Be honest that it is a bot
Say so in the first message. Customers forgive a bot that admits it does not know; they do not forgive one that pretended to be you and promised the wrong thing.
5. Put the link where customers already are
- Your Instagram bio and Facebook Page
- Your Google Business Profile
- A QR code at the counter and on packaging
- Your WhatsApp status and email signature
